Overview

Be the Backbone of Our Onboarding Process — Ensure Accuracy, Compliance, and a Positive Start for Every New Hire


HR Recruitment Coordinator plays a critical role in delivering a positive and seamless new hire experience.

This position is responsible for coordinating and executing all onboarding activities, ensuring compliance with organization policies, and supporting new employees as they transition into the organization. The ideal candidate is highly organized, detail-oriented, team player, work well under pressure, and passionate about creating an engaging employee experience.

  

Recruitment Coordinator position offers a compensation range of $26.22 – $29.17 per hour (DOE)

Fulltime, 40hour positions include a competitive benefits package:

This is an on‑site position at the Randolph Carter Center, 100 23rd Ave S, Seattle, WA 98144

Work Schedule: Monday – Friday, 8:30 AM – 5:00 PM

Responsibilities

Key Responsibilities

  • Coordinate end-to-end onboarding processes for new hires, including scheduling, documentation, and orientation logistics
  • Serve as the primary point of contact for new employees prior to and during their onboarding experience
  • Prepare and distribute offer-related and onboarding documentation, ensuring accuracy and timeliness
  • Conduct background checks upon offer acceptance and monitor progress through completion
  • Communicate regularly with hiring managers on offer status, background checks, and start date readiness
  • Maintain and update new hire tracking logs/sheets to ensure accurate reporting and visibility into onboarding progress
  • Facilitate new hire orientation sessions and support onboarding presentations
  • Conduct E-Verify for new hires and provide timely employment eligibility clearance confirmations
  • Partner with HR, IT, hiring managers, and other departments to ensure new hires are set up for success (equipment, system access, workspace, etc.)
  • Track onboarding progress and follow up on outstanding onboarding tasks and required training completion
  • Maintain and update employee records in HRIS systems, ensuring data integrity and confidentiality
  • Ensure compliance with federal, state, and local employment laws, as well as internal policies
  • Support process improvements to enhance efficiency and the overall employee experience
  • Assist with other HR administrative tasks and projects as needed

ESR

  • Support ESR functions as needed in the absence of the Employee Service Representative
  • Open the office, attend to walk-ins, provide phone coverage, issue employee badges and support filling activities and mailing as needed.

Recruiting

  • Maintain the onboarding/ recruiting tracking sheet with daily updates and promptly communicate any changes or updates to the Talent Managers and hiring manager.
  • Provide regular status updates to hiring managers regarding candidates, including background check status, E-Verify clearance, and any onboarding delays or rescheduling.

Others

  • Ensure compliance with employment laws, organization policies and procedures.
  • Assist in creating and updating onboarding materials, guides, and workflows to enhance the new hire experience
  • Collaborate with HR and departments managers to improve onboarding process and streamline administrative tasks.
  • Support diversity, equity and inclusion initiatives within recruiting practices.
  • Attend staff meeting as needed.
  • Support talent managers as needed.
  • Other duties as assigned.

  • The employee is frequently required to talk, hear, stand, walk, use hands to finger/ handle/feel/type, operate office machinery and reach with hands and arms. Requires the ability to regularly push, pull, lift and/or carry supplies up to 20 pounds and occasionally up to 40 pounds.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work takes place at the agency work location for the duration of the scheduled shift where long periods of sitting, working on a computer, walking to various work areas, going up and down stairs, and standing are required.

Qualifications

  • 1–3 years of experience in HR, onboarding, recruiting coordination, or administrative support
  • Strong organizational and time-management skills with attention to detail
  • Excellent communication and interpersonal skills
  • Ability to handle sensitive and confidential information with discretion
  • Ability to manage high volume workload
  • Comfortable answering and directing phone calls
  • Proficiency with Microsoft Office (Outlook, Excel, Word) and/or HRIS systems

Preferred Qualifications

  • Experience with onboarding platforms or HRIS systems (e.g., ADP)
  • Familiarity with background check processes and E-Verify
  • Basic knowledge of employment laws and HR best practices
  • Experience working in a fast-paced or high-growth environment
